Location: This is a full-time, on-site opportunity based in Pasadena, California, offering the chance to work closely with leadership in a collaborative office environment.

Job Description

  • Manage calendars, appointments, meetings, and Zoom conferences for firm leadership.
  • Coordinate scheduling, reminders, and daily administrative priorities.
  • Process incoming and outgoing mail and maintain organized filing systems.
  • Prepare, scan, copy, and organize legal and administrative documents.
  • Order office supplies and help maintain an efficient, organized workplace.
  • Run occasional local errands and provide personal assistance as needed.
  • Communicate professionally with clients, vendors, attorneys, and staff.
  • Handle confidential information with discretion and professionalism.
  • Support office operations and assist with additional administrative projects as priorities change.

Qualifications

  • 3+ years of administrative, personal assistant, executive assistant, or office support experience.
  • 1+ year of experience working in a law firm.
  • Strong organizational, multitasking, and time management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency with Microsoft Office and Google Workspace.
  • Professional, dependable, proactive, and detail-oriented.
  • Comfortable handling confidential information.
  • Ability to work independently while supporting a collaborative team.
  • Able to work full-time on-site in Pasadena, CA.
